Tus números, en tiempo real: cómo digitalizar el control financiero de tu empresaYour numbers, in real time: how to digitalise your company's financial control

With the traditional process, most business owners learn their figures around six weeks late.
In a digital process, invoicing, bookkeeping and bank reconciliation happen in one place, and you know where you stand today.
Holded brings together invoicing, accounting, treasury, an invoice scanner and reports, and adviser access is free.
The tool alone is not enough: you need a chart of accounts, to know what to measure, a clear process and a good migration.
If regulation is going to make you change invoicing systems anyway, use it to do a single migration.

Most business owners learn their figures six weeks late. Not because nobody keeps the books, but because the information arrives late.

The traditional process goes like this: you invoice during the month, keep receipts in a folder, send everything to your accountant at the start of the next month, they record it, and by mid-month someone tells you how the previous month went.

Para cumplir con Hacienda, funciona. Para dirigir una empresa, llega tarde. For keeping the tax authorities happy, it works. For running a company, it comes too late.

By the time you find out a client leaves you little margin, you have been working for them for two months. By the time you see cash has tightened, you have already signed the order. Decisions get made before the information is there.

Digitalising financial management is not about having less paper. It is about shortening the gap between what happens and when you find out.

Qué cambia cuando el circuito es digitalWhat changes when the process is digital

The last row is the one that matters. When the mechanical part is automated, your adviser's time stops going on data entry and goes into what really adds value: reading the numbers and telling you what to do with them.

Holded: la herramienta que implantamosHolded: the tool we implement

Reúne en un mismo sitio cosas que normalmente están repartidas en cuatro o cinco herramientas distintas:Of the platforms available in Spain, we mainly work with Holded, cloud-based management software designed for SMEs and sole traders. It brings together in one place things that are normally spread across four or five different tools:

Invoicing, meeting the requirements of the anti-fraud rules.
Accounting, connected to the above: what you invoice is already booked.
Treasury and bank reconciliation, with a direct connection to your banks so you can see transactions without downloading statements.
Invoice scanner, which reads the supplier, date, amount and taxes from an invoice you receive without anyone typing them in.
Reports and dashboard, to see up-to-date sales, expenses, profitability and cash.
And, depending on what each company needs: inventory, projects, CRM, payroll and point of sale.

There is a little-known but relevant detail: adviser access is free on every plan. You don't pay for us to come in and work on your company. And we don't ask you to send us anything: we see it as it happens.

Lo que la herramienta no hace solaWhat the tool does not do on its own

This is where it pays to be honest, because it is the part almost nobody mentions.

Management software does not fix a company. We have seen plenty of licences bought with enthusiasm in January and abandoned by March. The problem is almost never the tool: it is that nobody defined how it should be used or who was responsible for what.

Un sistema bien implantado exige decisiones que no son tecnológicas:A well-implemented system requires decisions that are not technological:

A chart of accounts tailored to your business. If all your expenses end up under "miscellaneous", you will have beautiful reports that say nothing. How useful the data is depends on how it is classified from the start.
Knowing what you want to measure. A project-based company is not the same as one that sells products. The indicators that matter are different, and so is the setup.
A clear process. Who issues invoices, how expenses come in, how often things are reviewed. Without that, information comes in messy and the result is very neatly organised rubbish.
  • La migración de lo anterior. Saldos, clientes, proveedores, facturas pendientes. Migrating what came before. Balances, clients, suppliers, outstanding invoices. This is done once, and it is worth doing well.

Cómo lo hacemos en GuimaesHow we do it at Guimaes

Esta es nuestra forma de trabajarlo con un cliente que da el salto:This is how we work with a client who makes the switch:

Understand the business first. What it sells, how it gets paid, how many invoices it handles, how the team works. The setup follows from that, not the other way round.
Design the accounting and analytical structure. How everything will be classified so that the reports then answer your real questions.
  3. Migrar y configurar. Datos, bancos, series de facturación, usuarios, permisos.Migrate and configure. Data, banks, invoice series, users, permissions.
Train the team. The most neglected part, and the one that decides whether the system survives past month three.
Stay with you afterwards. Regular reviews of the numbers with you, not a report nobody opens.

Put another way: the tool gives you the data; we bring the judgement to read it. And that is exactly what sets a 360 advisory firm apart from a traditional bookkeeping service: it is not just about your accounts being up to date, but about them being useful for decisions.

If you are planning to change invoicing systems in the coming months, it is worth doing both things at once.

Between the anti-fraud rules and mandatory e-invoicing, many companies will have to change their invoicing tools anyway. Doing two migrations back to back is double the work. If you are going to make the move, consider moving towards where you want to be in five years' time. We explain it in this article on the new timeline.

¿Lo vemos con tu caso?Shall we look at your case?

At Guimaes we don't sell licences: we implement systems and then work with them every month, alongside tax, accounting and financial management.

If you want to stop finding out your numbers six weeks late, tell us how you work now and we will tell you frankly whether the switch is worth it for you and what it would involve.

¿Hablamos?Shall we talk?
