Cierre del tercer trimestre: qué presentas antes del 20 de octubreThird-quarter close: what you file before October 20
En breveIn short
- El plazo del tercer trimestre termina el martes 20 de octubre; si domicilias el pago, el 15.The third-quarter deadline ends on Tuesday, October 20; if you pay by direct debit, on the 15th.
- Vencen el IVA (303), las retenciones (111, 115 y 123), los pagos a cuenta (130 y 202) y el 349.VAT (303), withholdings (111, 115 and 123), prepayments (130 and 202) and form 349 all fall due.
Before filing VAT, check pending invoices, unrecorded expenses, unpaid invoices and cross-border transactions.
Withholdings are not your money: paying them late or incorrectly is what costs the most.
With the quarter closed, now is the time to plan the year-end. In January, all that is left is to file.
If you pay by direct debit, your deadline is earlier: the 15th.
That is the first trap in the tax calendar, and the one that causes the most scares. The general deadline for filing third-quarter self-assessments runs from October 1 to 20, but if you want the Tax Agency to debit the amount from your account, the return has to be filed by the 15th. That is five days less.
From the 16th, you can still file, but the payment can no longer be made by direct debit: it has to be paid another way.
Beyond the date, what makes the difference is what gets checked before you hit send. A quarter filed on time but with incomplete data has to be fixed afterwards, with more work and, sometimes, with a surcharge.
Qué modelos vencen el 20 de octubreWhich forms are due on October 20
| ModeloForm | Qué declaraWhat it reports | A quién afectaWho it applies to |
|---|---|---|
| 303 | IVA del tercer trimestreThird-quarter VAT | Empresas y autónomosCompanies and sole traders |
| 111 | Retenciones de nóminas y de facturas de profesionalesWithholdings on payroll and on professionals' invoices | Quien tiene empleados o paga a profesionales con retenciónAnyone with employees or who pays professionals subject to withholding |
| 115 | Retenciones del alquiler de localesWithholdings on commercial premises rent | Quien alquila un local para su actividadAnyone renting premises for their business |
| 123 | Retenciones de dividendos e interesesWithholdings on dividends and interest | Sociedades que los repartenCompanies that pay them out |
| 130 | Pago a cuenta del IRPFPersonal income tax prepayment | Autónomos en estimación directaSole traders under the direct assessment method |
| 202 | Pago fraccionado del Impuesto sobre SociedadesCorporate Tax instalment payment | Sociedades cuya última declaración salió a pagar y, en todo caso, las que facturan más de 6 M€Companies whose last return resulted in tax payable and, in any case, those with turnover above €6M |
| 349 | Operaciones intracomunitariasIntra-EU transactions | Quien compra o vende a empresas de otros países de la UEAnyone buying from or selling to businesses in other EU countries |
Not all of them apply to you. But it is worth going through the whole list: the 115 and the 349 are the ones most often forgotten, precisely because not every company files them every quarter.
Qué revisar antes de presentar el IVAWhat to check before filing VAT
The 303 is not just a matter of adding up output VAT and subtracting input VAT. These are the checks that most often change the result:
Supplier invoices that have not arrived yet. This is the most common oversight and it always works against you: input VAT you do not deduct, so you end up overpaying. Before closing, check which services you received in the quarter that have no recorded invoice.
Expenses paid with a personal card or in cash. Fuel, allowances, utilities, small purchases. They tend to be left out of the accounts and carry deductible VAT.
Corrective invoices and clients who have not paid you. If you have unpaid invoices, the law allows you to recover the VAT on bad debts, but only if the requirements and deadlines are met. The deadlines are short, and missing them means losing that money.
Cross-border transactions. Intra-EU purchases and sales have their own treatment and must match form 349. If they do not match, it is one of the discrepancies the Tax Agency spots first.
Pro-rata, if your business combines VAT-able and VAT-exempt transactions. Not all input VAT is deductible, and the percentage is adjusted.
Capital goods. Major purchases made in the quarter may be subject to specific deduction rules.
Lo has retenido en nombre de otro (tu empleado, un profesional, tu arrendador) y solo lo estás ingresando por él.Forms 111, 115 and 123 have one particular feature: that money is not yours. You have withheld it on someone else's behalf (your employee, a professional, your landlord) and you are simply paying it in for them.
That is why the Tax Agency is especially strict here. Filing late or applying the wrong rate is not an accounting error: it means not having paid in something you withheld.
Dos comprobaciones rápidas antes de presentar:Two quick checks before filing:
That all of the quarter's invoices from professionals carry withholding, applied at the correct rate.
There are exceptions, but the general rule is that it does.
El modelo 202 no es un trámiteForm 202 is not just paperwork
If your company makes instalment payments, October is the second of the year's three. And of all this month's forms, it is the only one where there is something to decide, not just something to report.
The amount depends on which calculation method you apply, and that has a direct effect on your cash position over the coming months. We cover it in depth in this article (in Spanish).
Si no llegas al 20If you cannot make the 20th
Don't panic, but act quickly. Filing late carries a surcharge, and the surcharge grows over time: the sooner you file, the smaller it is. It is always better to file late on your own initiative than to wait for the Tax Agency to demand it, because then we enter different territory: penalties.
And if the problem is not the paperwork but cash, tell your adviser before the 20th, not after. Payment deferrals and instalment plans exist, but they must be requested within the deadline.
Octubre es también el mes de mirar hacia diciembreOctober is also the month to look ahead to December
There is one more thing worth doing this week, and it is not due on the 20th.
With the third quarter closed, you already know, fairly accurately, how the year is going to end. This is the time to work out what result you will have at December 31 and what you can still do to make that close the best it can be: investments you may want to bring forward or postpone, reserves you can apply, how you are paying yourself as a director, decisions about your corporate structure.
In January, none of that can be changed any more. It can only be reported.
